You can undo a sent email in both Gmail and Outlook, but only if you’ve enabled the feature beforehand. When “Undo Send” is activated, there is a limited window of time before the sent message is sent during which it can be canceled. The “Undo Send” function does not actually recover your email from the recipient’s inbox; rather, it only postpones the sending process so that you might change your mind before the message is actually sent.

Confidential Mode Message Sending

Make sure you can use Gmail’s confidential mode by contacting your system administrator if you use it with a work or school account.

  1. To access your Gmail account, please use a computer.
  2. Select the Write tab.
  3. Click the button labeled “Turn on confidential mode” in the window’s lower right corner. Switch to private mode.
  4. A helpful hint is to scroll to the bottom of the email and select Edit if you have already activated the confidential mode.
  5. Add a time limit and a security code. Both the message body and any attachments will be affected by these preferences.
  6. If you select “No SMS passcode,” those who have the Gmail app on their phones won’t need a code to access the message. A passcode will be emailed to those who don’t use Gmail.
  7. When the option to send a passcode through text message (SMS) is selected, the recipient(s) will get a code via SMS. Don’t forget to replace your personal phone number with the recipient!
    Select “Save” to store the changes.

Delete An Email You Just Sent In Gmail.

The “Undo Send” function in Gmail is always enabled, but you can change the default timeout of five seconds (too low, IMHO) to a maximum of thirty. My timer is set to 10 seconds; set yours to whatever works best for you.

To set timeframe:

  • Select the General tab from the list of options presented when you go to the Gmail settings (cogwheel) > See all settings >.
  • Here, select the option to “Undo Send.”
  • Select a “Send cancellation period” of 5, 10, 20, or 30 seconds, as needed.
